We all drown sometimes. We drown in tasks, information, meetings, emails. But is this really the right way to run a business and be time efficient? Is this necessary toll our day-to-day work takes? We felt the same, and then realized that it can be exactly the opposite. Team work, collaboration and overall business communication can be so much easier, transparent, efficient and available to all parties. It can also be more accessible to all parties involved and delegated in a timely and well planned way.
Here is what we did it.
1) We made a product based on experience
Our experience is what brought about the very idea of making CollaboraZon. This happened while we were working for a client. The project itself required a lot of communication with an external contractor company and it involved many other external stakeholders. The entire exchange of documents and comments was done via email: What happened was that all the participants had to save many different versions of the product/text in their local file system (sounds familiar?).
The result? Lots of confusion, lost documents, duplication of files, difficulties in keeping track of different conversations, stakeholders referring to different versions of the same document making it very hard to be sure everyone is on the same page during different phases of the project, etc. CollaboraZon solved this by creating a platform where you can store all your relevant and operative files in the cloud (the same way you would in any other file system), share files and information, work on them via posts and comments, and create events and meetings.
2) Data and dates are essential for team work and we know it
All the writing, delivery and revisions of documents were always submitted to deadlines. This sounds easy, but in practice- the exact dates and due dates are not always remembered by all the stakeholders. This used to happen a lot as they were usually marked in separate calendars, and these were not always well synchronised. This of course lead to some additional confusion, but also had direct consequences in terms of breaking the deadlines and being late in delivery of project outcomes, papers and results.
Given the success of the cloud, and the growing number and popularity of social networks, we decided to combine these elements and create CollaboraZon exactly with this problem in mind.
3) No data lost. Ever.
Today, companies and individuals work on projects that require broad and extensive communication with many different stakeholders. This projects are now spread across the globe. They used to generally use emails and attachments to share files and conversations. But there are many problems such as the fact that attachments need to be downloaded to the user’s PC and stored locally as well and version control is difficult. Not only that collaborators sometimes end up talking about different versions of the same documents, but entire conversations can be lost as well. Due to limitation in the storage of emails, many users clean up their mailboxes leading to important information getting lost and user being nable to get back to them and use them in the future. Many forget to hit Reply all button and hit Reply instead. In addition to this, we all know that searching for files in emails is not easy.
CollaboraZon offers a solution for this problem as well. This is an application where all documents can be stored centrally in the cloud (or in your file servers in the Enterprise version) and can be shared with the people who have the right to see them. If collaborators need to discuss an issue or brainstorm looking for a solution, they can do this via posts and comments – as is the case with most social networks. You can do searches for text in the posts and comments in order to easily find a conversation.
There is no reason to suffer additional stress and experience unnecessary frustration. Modern tools are available and there to help.
